SENIOR LOGISTICS OFFICER
Action Against Hunger is an international non-governmental organization working in more than 40 countries in the fields of nutrition, food security and livelihoods, water sanitation and hygiene, and care practices. ACF is looking for its program in Jordan for SENIOR LOGISTICS OFFICER.
Work Place: Amman
Gross Monthly Salary: 1045 JOD
Missions :
To support Amman base in all logistics aspects, with special focus on the procurement unit.
Objective 1 : To supervise procurements at Amman level
To receive procurement requests and to ensure they are sorted and grouped together, per market.To cross check that the procurement dossiers are in line with ACF procedures (kit log / LINK) and to validate them.To give a special focus on the archiving of the procurement dossier in order to ensure all documents are present and properly archived.To supervise the procurement officer and to help him/her achieve his/her objectives by providing support and guidance.When necessary due to the workload, to take active part in the procurement process of important procurement files.To actively participate in maintaining the suppliers’ database accurate and updated.To centralize problems regarding procurement (complains from the requesters, issues with suppliers…) and to address them as per ACF procedures and HoD Log recommendations.
Objective 2 : To ensure general maintenance of the Amman base premises:
To ensure the Office and Guest houses are in good condition and to act on residents requests regarding maintenance / problems.To ensure supply of water, cooking gas and fuel (heating systems) for all premises.To follow up and request stationaries for the office, when needed.To ensure basic security of the premises is maintained (doors and locks, fire extinguishers, emergency numbers…)To ensure proper repairs are done, either directly or through contractors.To communicate with the landlords regarding ACF requests or possible issues regarding the buildings.
Objective 3 : To supervise the global fleet management at mission lever :
Movements plan:
To supervise the drivers of Amman base.To plan movements of vehicles at Amman level (including kiss-movements with other bases).To book taxi if necessary.
Vehicles needs:
To gather the vehicles needs at mission level, on a monthly basis (procurement lines made by each base)To include the procurement lines in the procurement dossier.To communicate with the car rental company to order the suitable vehicles, as validated in the Procurement Lines.To prepare the monthly SPO / RN to reflect the actual fleet rented, based on the invoices and the PL, for payment.
Vehicles maintenance:
To follow up with the logistics persons in each base regarding the maintenance needs of the vehicles.To list those needs and communicated with the car rental company to organize the maintenance in a timely manner.To get feedback from the base regarding the maintenance done by the car rental company.
Fuel tracking:
To allocate fuel credit on fuel cards (online platform) and to track the fuel expenses of the vehicles, to avoid shortages.On a monthly basis, to edit the fuel report (total expenses, vehicles consumptions…).To gather all fuel invoices and to prepare the procurement file (to allocate each purchase of fuel with a specific vehicle and budget line).To ensure refill of the fuel account to avoid shortage.
Reporting:
To follow up on the drivers absences and to inform the HoD logistics.To prepare the drivers’ monthly salary check list and to share it with the vehicle rental company.To compile fuel reports and to ensure the proper monitoring of the fuel consumption, at mission level. To make recommendation to the HoD log if necessary.To update the Fleet Tracker (terramar).To report any misuse of vehicles (to check regularly the tracking online platform, especially for the vehicles not parked at the base during the night).To report about general fleet situation to the HoD logistics.
This job description describes the main objectives & tasks. As this is not an exhaustive list, the employee may be requested to perform or participate to other tasks within the logistics framework.
The Employee may also be deployed on other duty stations, for short period of time, in order to assist other logistics team members.
Diploma / Level of studies: Relevant degree in logistics and / or strong professional experience.
Required skills: Highly organized person, Rigour, Diplomacy, Strong capacity to prioritize, Resourcefulness, Capacity to negotiate.
Spoken and written proficiency in English and Arabic
